Viewer icon Main Toolbar->Viewer Function

The Viewer Function is a graphical interface into viewing unread and saved text and instant messages for yourself and the department(s) to which you belong. If there is unread mail in your mailbox, the Status button on the main toolbar will be highlighted to let you know.

Open the Viewer by clicking on the Viewer Icon, or by clicking the F6 function key. The viewer interface opens similar to the one in the animated graphic below.

In the left column is a listing of the departments in which you are a member, as well as a folder for yourself. Click on the plus sign to expand the folders, each will have (if applicable) an entry for Instant Messages and Text Messages. You can create your own subfolders and drag and drop messages to better organize them.

New, unread text or instant messages will be placed in the respective subfolders in the viewer under the user (you) or department where they were sent. In the graphic above, we are looking at Wilma's mailbox. She is a member of the Administrator, Everybody, and Stoneage departments so she has access to mail that is sent to any of those departments.

Clicking on the entry for Wilma Flintstone in the left column opens any saved conversations she may have (in the animated graphic above, she has saved three conversations. She may want to create a new folder called Saved Conversations to hold these that she has already read through but wants to keep a copy of.

To see what is in any of the conversations, just click on one of them and the contents will appear in the bottom of the window. You can choose a layout view (same as you see while you are in the conversation) by selecting one of the layout views. (In the animated graphic, after seeing the default of full screen, we select vertical.)

You can delete or print any of these messages by selecting the respective icons.
